Privacy Policy

Pulse Studio is a freelance motion design service producing short-form product promo videos. This policy explains what information we collect when you contact us, submit a video brief or receive a delivery, and what we do with it.

1. Who we are

Pulse Studio (“we”, “us”) operates pulsestudio.media and is the controller of the personal information described here. You can reach us at hello@pulsestudio.media.

2. Information we collect

  • Contact details you type into our forms: name, email address, and where provided, phone number and website.
  • Project information from the video brief: product description, mood and style notes, preferred length, aspect ratio, brand colours, and any images or logos you upload.
  • Lead-ad details if you submitted your information through a Pulse Studio ad on Facebook or Instagram. In that case we receive the name, email, phone, website and interest you entered on the ad form.
  • Order and delivery data: the price of your video, delivery status, the unique link used to view your delivery, and payment confirmations returned to us by PayPal.
  • Basic technical data such as IP address, browser user agent and pages visited, used for security and to measure the performance of our advertising.

We do not ask for, and you should not send us, sensitive information such as government ID numbers, health data or full card numbers. Card details are entered directly with PayPal and never reach us.

3. Why we use it

  • To reply to your enquiry and send you the link to complete a video brief.
  • To plan, produce, review and deliver the video you commissioned.
  • To issue your invoice, take payment and release the final file.
  • To send service emails about your project: confirmations, reminders, delivery notices.
  • To measure which ads and pages bring in enquiries, so we do not waste ad spend.
  • To keep records we are required to keep, and to resolve disputes.

Where the law requires a legal basis, we rely on performance of a contract (producing and delivering your video), our legitimate interests (running and improving a small studio, preventing abuse), and your consent where consent is required — for example marketing emails or advertising cookies.

4. AI processing of briefs

To speed up concepting, the text of your brief and the reference images you upload may be sent to third-party AI providers so we can draft a storyboard, a base image and a draft video for internal review. Those drafts are stored privately and are only used for your project. A human reviews everything before anything is delivered to you. If you would rather your material was not processed this way, tell us in the brief or by email and we will handle it manually.

5. Who processes data on our behalf

  • Hosting and database — our application host and managed database provider store form submissions, uploaded files and delivery records.
  • Email delivery — Resend sends our transactional emails from the pulsestudio.media domain.
  • Payments — PayPal processes payments. Their own privacy terms apply to the data you give them.
  • Advertising measurement — Meta (Facebook and Instagram) receives event data about enquiries and purchases, including a hashed version of your email or phone, so campaigns can be attributed. Hashing means Meta receives an irreversible fingerprint, not your plain contact details.
  • AI providers — used as described in section 4.

We do not sell your personal information and we do not share it with anyone for their own marketing.

6. International transfers

Our providers operate servers outside your country, including in the United States and the European Union. Where required, transfers are covered by the providers’ standard contractual clauses or equivalent safeguards.

7. How long we keep it

  • Enquiries that never become projects: up to 24 months, then deleted.
  • Project briefs, assets and delivery records: for the life of the project and up to 5 years afterwards, so we can support re-orders and meet accounting obligations.
  • AI drafts and working files: deleted once a project is closed out or on request.

8. Your rights

Depending on where you live, you may ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or receive it in a portable format. You can also unsubscribe from any non-essential email at any time. Email hello@pulsestudio.media and we will respond within 30 days. If you are in the UK or EU and are unhappy with our response, you may complain to your local data protection authority.

9. Security

Uploads, briefs, delivered videos and invoices are stored in private buckets that are not publicly listable. Delivery pages are reachable only through a long, unguessable link — please do not post that link publicly. Traffic to the site is encrypted in transit. No system is perfect, so if you believe something has gone wrong, tell us immediately.

10. Cookies and tracking

We use a small amount of browser storage to remember the name and email you already typed, so you do not have to enter them again on the brief page. We also use Meta’s pixel and server-side Conversions API to attribute enquiries and purchases to the ads that produced them. You can block cookies in your browser and clear site data at any time; the site will still work, you will just retype a few fields.

11. Children

Pulse Studio is a business-to-business service and is not directed at anyone under 18. We do not knowingly collect information from children.

12. Changes

If we change this policy we will update the date at the top of this page. Material changes affecting active clients will also be sent by email.
